Responsibilities

Ambassador for your assigned executive and the Company

Handle sensitive business and people issues with diplomacy

Maintain Executive calendars and complex coordination of meetings and events

Ensure smooth and cost-effective travel logistics

Assist with team communication and meeting planning

Assist with meeting agendas and materials required for meeting

Prepare and edit correspondence, communications, presentations and other documents

Identify operating improvements and implement changes where appropriate

Participate in staff meetings, document actions and distribute minutes of meetings

Ensure efficient and timely expense reimbursements and invoice processing

Monitor, screen, respond to and distribute incoming communications

Liaise with internal staff at all levels, and partner with the admin team

 

 

Qualifications

Administrative assistant or similar experience

Advanced Microsoft Office 365 computer skills and in-depth knowledge of relevant communication software and tools. Workday experience is a plus.

Knowledge of standard office administrative practices and procedures

Strong logistics management and planning skills

Possess exceptional written and interpersonal communication skills

Positive, professional and approachable demeanor

Ability to effectively establish rapport, present information and respond to questions from managers, employees, and clients

Possess great organizational skills and very strong attention to detail

Demonstrate ability to be proactive, decisive and dependable

Ability to work with detailed, complex and highly sensitive materials and exercise considerable judgment

Demonstrated success collaborating with peers, managers, and others for strong teamwork and relationships

Demonstrated skills to multi-task and maintain organization in a fast-paced, changing environment

Proactive, self-starter, able to prioritize and a sense of urgency

Associates degree or higher is highly preferred
