Department Description:

The Treasurer's Office has a dual report to the Board of Regents as well as the CFO. It is responsible for overall cash management, debt management and property records management. It provides support and assistance to the campuses on financing strategies, real estate issues, banking relationships, and other investment-related issues

Position Description:

The part-time Executive Assistant position supports the Universitys mission by providing timely, accurate and relevant support to the Office of the Treasurer. To thrive in this position, the individual must be organized, detail oriented and flexible. The Executive Assistant must be both a strong team-player and a successful independent worker, with excellent verbal, written and interpersonal communication skills.

This position reports to the Treasurer and Chief Investment Officer and is exempt from the State of Colorado Classified Staff system

Duties and Responsibilities

Manage scheduling and calendar for the Treasurer

Coordinate staff and other Treasury meetings, including scheduling and logistics

Organize and coordinate training and conference registrations and travel for staff and process reimbursements

Primary support for the Universitys Investment Advisory Committee : manages communications, coordinates meetings, prepares meeting materials, and schedules investment manager visits and committee special events

Downloads bank, trustee and merchant statements and credit card transactions for reconciliation

Create and submit expense reports for staff

Open, sort, and distribute incoming correspondence

Scan mail, investment statements and other documents; save to shared files

Manage check register for desktop deposits

Develop and maintain systems to manage office records, communications and files, both paper-based and electronic

Drafts, edits and proofreads general correspondence for own and others signature.

Prepare meeting agendas and draft minutes as needed

Provide backup to locate transaction details and research requests in PeopleSoft FIN

Ensure proper documentation of deeds and records of real estate property; handle internal and external inquiries of records and transactions; maintain real estate database

Manages Treasury department contact database; develops new reports, queries and forms as needed

Assist Program Manager with CU Online Store category and product creation, research transactions, and process refunds

Uses Universitys accounting software to run reports and download/upload data. Prepares journal entries and uploads journal entries.

Work on special projects, as assigned

Performs other administrative and clerical duties as required

What we offer:

Salary: The anticipated hiring range has been established at $27,000-$33,650 at 50% Full-time

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.The above salary range represents the Universitys good faith and reasonable estimate of the range of possible compensation at the time of posting.

Minimum Qualifications:

Bachelors degree from an accredited institution of higher education, or equivalent professional experience years of professional experience as an executive assistant of a large organization or institution of higher education

Preferred Qualifications:

Six years of adminsitrative-support experience in a large, higher education environment

Intermediate spreadsheet skills working with MS Excel
