The Administrative Professional organizes and coordinates departmental administration and procedures, in order to ensure organizational effectiveness and efficiency. Responsible for identifying and analyzing needs of the departments and finding solutions as needed. Provides administrative and executive support to the Department Managers and office personnel within the company. Exercises considerable discretion and independent judgment and can analyze complex information.

General Responsibilities
• Participate in analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties
• Identifies process improvements, determines approach, compiles and analyzes data, and prepares reports/recommendations
• Coordinate activities between departments and outside parties

Experience / Qualifications
• A university degree required with at least 2 or more years of experience, or equivalent relevant work experience of at least 6 or more years.• Must be a team player able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands
• Strong communication skills; oral, written and presentation
• Strong organization, planning and time management skills to achieve results
• Strong personal and professional ethical values and integrity
• Holds self-accountable to achieving goals and standards
• Proficient in Microsoft Office programs
• Strong interpersonal & collaboration skills to work effectively with all levels of the organization including suppliers and/or external customers

Additional Responsibilities:

Schedules and coordinates quarterly and weekly management meetings

Formats, types, proofreads, and distributes presentation materials for Department Managers

Maintains company files

Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; restocking supplies when orders arrive

Manages company janitorial and kitchen supplies

Manages coffee/supply company account and supplies

Assists with postage meter allowance and printer ink inventory

Assists HR with company functions as needed

Assists managers when customers and onsite visitors arrive by booking conference rooms, arranging meals, and cleaning before and after

Distributes incoming and outgoing mail daily

Adheres to confidentiality on legal, executive, or HR company information as needed

Performs other general office duties as requested

Additional Requirements:

Excellent customer service and interpersonal skills

Advanced Microsoft Office skills, with an ability to become familiar with company-specific programs and software

Strong organizational, project management, and problem-solving skills with the ability to handle multiple tasks.

Takes the initiative without constant supervision

Friendly and professional demeanor

Has high attention to detail and maintains focus on the job at hand. Self-starter and able to be productive without direct supervision
